License holds
When creating or editing a license number, you can set the hold status of the license number. How you configure your licenses impacts whether a licensed item is available for picking.
To edit a license number:
- Select Inventory>License Numbers. A list of license numbers appears.
- Highlight the license number you want to edit and click
Edit License # up above. The Edit License # screen appears.- For Transaction Date, the system automatically selects the current date as the date of record for the change to the license number. If the date is different, you can change it by clicking in the field and then selecting the calendar icon to the right.
- Under Transacted By, enter the user who is editing the license.
- Edit the license number fields as necessary to make changes to the License # (the name of the license), the License Reference, or the Hold.
- When you change the License #, all items in inventory associated with the license take on the new number. The number does not change for line items on shipments or receipts. These records are frozen and cannot be modified.

- Optionally, enter any Comments about the change to this license number.
- Under the License Edit Items table:
- To add new items to the license number: Click
Add inventory item. A pop-up appears with a list of all unlicensed inventory items and their quantities. Click the check box for each item you want to add to this license number. Then click OK. - To change the amount of an inventory item that is licensed: Key in a new value for the Licensed Qty of that item. The Max Licensable Qty field shows the quantity of this item available to be tagged.
- If the item master is set to Serial Control: Unique or Closed Container, the Licensed Qty must be set to the entire quantity of the inventory item.
- To remove an inventory item from a license number: Key in 0 as the new value for the Licensed Qty of that item.
- To change the license number of an inventory item: First, remove the current License # by keying in 0 as the new value for the Licensed Qty of that item. Next, create another License Number Edit document for the new License #, and add the inventory item to that license number.
Note: Some items in your license number may not be editable in the License Edit Items table. These items are already soft allocated for another warehouse operation, such as a shipment or a bin transfer. You can use the Inventory by Item report to track down the other operations that need this item; those operations must be completed or cancelled before you make changes to the license number for the item.
- When finished, click Perform Edit to update the license number and the items in it.
To add a license number:
- Select Inventory>License Numbers. A list of license numbers appears.
- Select a warehouse you want to create the license number for. You cannot add a license number in the
All warehouses view.

- Above the license number list, click
Add License #. The Add License # screen appears.- For Transaction Date, the system automatically selects the current date as the date of record for the creation of the license number and the initial assignment of inventory items to this license. If the date is different, you can change it by clicking in the field and then selecting the calendar icon to the right.
- Under Transacted By, enter the user who will create the license.
- Complete the information about the license number:
- When finished, click Perform Edit to create the license number and add the items to it.
To set a hold on a license number:
- From the Edit License # screen, check the On Hold? check box to place the license on hold.
- Select the hold type from the Hold drop-down.
You can also have a hold type selected without having the license on hold (by UNchecking the On Hold? check box after selecting a Hold type from the Hold drop-down). This enables you to keep track of the hold you have used in the past for a particular license number, in case you need to put the same hold on again in the future.
Hold types
There are 2 types of holds for licenses in SmartTurn: Hold type and Warn type. Each type has different handling implications, as noted below.
- 15 Hold type holds - A hold that prevents any item assigned that license (tag) from being shipped (transfers are ok).
- 15 Warn type holds - A hold on a license (tag) that throws a warning when any items with the license (tag) are added to a shipment (transfers are ok).
In addition to the different types of hold restriction outlined above, there may be many specific reasons for putting things on hold. SmartTurn provides the different hold placeholders so you can designate them the way you want.
Tip: Your warehouse can keep a spreadsheet of the hold type you are designating for each hold. See the example, below.
