Editing inventory items

An inventory item is a particular, physical quantity of an item master. The goods in a single inventory item share all of their specific details, such as location and owner, but may have different license numbers. The goods may be soft allocated to different warehouse operations, however, the quantity allocated cannot be more than the total quantity of the inventory item (that is, multiple allocations against a single inventory item do not overlap).

From time to time, you may need to change some of the specific details of an inventory item, such as the condition.

To change the details of an inventory item, you need an Edit Document to track your changes. You can create an Edit Document and then add the inventory item(s) you need to change, or select an inventory item first and then create an Edit Document for it.

Note: If you need to change the quantity, licensed quantity, or location of an inventory item, you should use an adjustment, license number edit, or bin transfer instead. The Edit Document is only for changing specific details of an inventory item.

To edit an inventory item:

  1. To create an Edit Document and then add the inventory item(s) you need to change, select Inventory>Edit Documents. In the toolbar, select Add item button Add. Continue with step 3.
  2. To select an inventory item first and then create an Edit Document for it, bring up the Edit Item # screen by selecting the inventory item from a report, highlighting the inventory item you want to change, then selecting Edit icon Edit from above.

    If you select an inventory item first, that inventory item is soft allocated to your edit document when the document is created.

    You can use any of the following reports:

    • Reports>Inventory by Item A list of inventory items appears.
    • Reports>Inventory by Lic # A list of inventory items with license number assignments appears.
    • Reports>Inventory by Serial # A list of serial-controlled inventory items appears.
    • Reports>Inventory without Lic # A list of unlicensed inventory items appears.
    • Reports>Quantity by Item A list of items combined by Item # appears. Highlight an item number, and selectView iconView. A list of quantities in different locations appears.
    • Reports>Quantity by Location A list of locations appears. Highlight a location, and selectView iconView. A list of items in that location appears.
    • Reports>Quantity by Owner A list of owners appears. Highlight an owner and selectView iconView. A list of owner-specific quantities in different locations appears.
    • Reports>Quantity by Vendor A list of vendors appears. Highlight a vendor and selectView iconView. A list of vendor-specific quantities in different locations appears.
    • Reports>Quantity by Group A list of groups appears. Highlight a group and selectView iconView. A list of group-specific quantities in different locations appears.
    • Reports>Quantity by Lic # A list of license numbers appears. Highlight a license number, and selectView iconView. A list of items assigned to that license number appears.
    • Reports>Inventory Stockout A list of inventory in stockout status appears. Highlight an inventory item, and selectView iconView. A list of the quantities of that item in different locations appears.
    • Reports>Available to Promise A list of inventory available to promise appears. Highlight an inventory item, and select View iconView. A list of the quantities of that item in different locations appears.
    • Inventory>Inventory Managers A list of inventory managers appears. Highlight an inventory manager and select View iconView. A list of items returned by your inventory manager (that is, by your custom filtering and sorting) appears.
  3. The Edit Item # screen appears. This is the record for your inventory change.
  4. In the top of the page, for Transaction Date, the system automatically selects the current date as the date of record for the inventory change. If the date is different, you can change it by clicking in the field and then selecting the calendar icon to the right.
  5. Under Transacted By, enter the user who will complete the change.
  6. If applicable, enter an active Owner. If you enter an Owner on the Edit Document, then all of the Inventory Items must have an Owner that is either not set or is set to the Owner on the Edit Document.
  7. Optionally, enter any Comments.
  8. To build (or add to) the list of inventory items to change: Under Inventory Items, click Add item button Add inventory item from the toolbar. An Item Search screen with a list of inventory items appears. Check the items you want to change. Select OK. The items you selected appear in the Inventory Items table.
  9. Change any of the specific information about the item.
    • If the information you want to change is not listed in the table, check the box next to the item and click Edit icon Edit Item. Change the information in the Edit screen and select OK. (If the attribute is one you edit frequently, you can also customize the page to include it, so that you do not need to use the separate Edit screen.)
  10. To remove an item from the Inventory Items table, check the box next to the item and click Delete icon Delete item from the toolbar. (All the items you select for deletion must be on this page. You can repeat these steps on each page of the edit document if you have several pages of items.)
  11. When finished, select Perform Edit to make the change to the item.
